Moving mail from Lotus Notes/Domino to Microsoft Exchange — or Exchange Online — is one of the most common Notes migrations, and one people fear most: mail is where the business lives. Done in the right order, nothing is lost and users barely feel the change.
The four stages of a safe mail migration
- 1. Inventory and export: every mailbox's folders, messages, attachments, and rules are inventoried, then exported from the NSF databases with counts recorded.
- 2. Map and provision: mailboxes are created on the Exchange side and each Notes element is mapped to its destination — folders to folders, rules to rules.
- 3. Sync and coexist: mail flows into Exchange while Notes stays live. Both systems run together, so nobody is cut off mid-week.
- 4. Verify and cut over: counts and samples are compared — message totals, folder contents, calendar entries. When they match, users switch, mail routing is redirected, and the old system is archived rather than deleted.
What people worry about — and what actually happens
Lost mail: prevented by counting before and after, per folder, per user. Broken rules: rules are mapped explicitly, not guessed. Downtime: avoided by running both systems in parallel. Forgotten shared mailboxes: caught in the inventory stage, which lists every database — not just the ones people remember.
The migration is done when the numbers match — not when the last message appears to arrive.
