A Safe Lotus Notes Transition: Moving to the Web Without Losing Anything

Safe means staged, verified, reversible

A safe Notes transition never gambles the business. The old system keeps running while the new web platform is built and proven. Mail, data, and workflows move in stages — each one verified against the source before the next begins.

At every point there is a working system and a rollback path. That is the definition of safe.

Step 1 — Inventory what actually lives in Notes

Catalog the mail, databases, workflows, and applications. Decide what moves, what is archived, and what gets retired. This inventory is the contract of the migration — nothing unlisted gets touched, nothing listed gets left behind.

Step 2 — Rebuild applications on the modern stack

The Notes applications and workflows are rebuilt as web applications on React with Node.js APIs and Tailwind styling. Business logic, validation, and workflows are ported — not reinvented.

The Notes system keeps serving the business while the rebuild happens. Users keep working, revenue keeps flowing.

Step 3 — Move data in verified stages

Data migration happens module by module: extract, transform, verify, reconcile. Emails, documents, and database records are compared against the source until they match exactly.

A dual-run period runs both systems in parallel so nothing depends on unverified new software.

Step 4 — Cutover with a rollback plan

Cutover happens at a low-activity window on a scheduled date, with the Notes environment kept available for rollback and reference during a support window.

Once the business is confident, the legacy system is decommissioned on schedule — not in a panic, not in a weekend.

What a safe transition protects

Your email never disappears. Your business records never get lost. Your team never loses a day of work. And the trap — data locked in a platform nobody can maintain — is opened for good.
