AI & Automationn8n: Workflow Automation Without the Per-Task Bill
Zapier charges per task. Make charges per operation. Both price plans in ways that make the bill grow fastest exactly when your automation is working — which is the moment you least want to reach in and kill it.
n8n is the self-hosted answer, and it is not a lightweight one. It is a workflow automation platform built for technical teams: a visual canvas, real code when the canvas is not enough, and — increasingly — native AI agent nodes rather than a bolted-on chatbot.
What n8n actually is
- 400+ integrations. The usual suspects — Google, Slack, Stripe, HubSpot, major CRMs and databases — wired into a drag-and-drop canvas where each node can be inspected and edited as JSON or JavaScript.
- Code when you need it. The difference between a toy automation tool and a real one: when an API returns something odd, you write ten lines in the node instead of filing a feature request.
- Native AI capabilities. AI agent nodes, model routing, human-in-the-loop steps, guardrails and evaluations — the governance features that matter once the AI touches a real business process.
- Grown-up operations. SSO/SAML, LDAP, RBAC, encrypted secret stores, audit logs, log streaming to SIEM, Git-based version control, isolated environments and workflow diffs.
- Self-host or cloud. The platform is fair-code licensed and deploys via Docker, Docker Compose, Kubernetes, npm or PM2; the hosted offering is optional, not the default path.
Why a business should care
- The per-task meter stops existing. A workflow that fires 40,000 times a month costs the same as one that fires forty. Automation should get cheaper as it works, not more expensive.
- Your data never leaves. Invoices, customer records, SMS threads — the workflow runs on your server, so the integrations see only what you deliberately send them.
- It composes with your stack. Send the output to your database, your file share, your self-hosted AI gateway. No obligation to keep the whole loop inside one vendor.
- It scales with the business, not the plan. No tier unlocks webhooks, no tier raises the execution ceiling. You decide the ceiling by sizing the server.
Automation should get cheaper as it works, not more expensive.
Where it fits
The honest comparison: Zapier is faster to your first workflow and has a friendlier editor for non-technical staff; n8n wins once volume grows, data sensitivity matters, or the logic gets past what a form builder expresses. Most small businesses end up running both for a while — then move the heavy workflows over one at a time.
Getting started
A single Docker container with an embedded database gets you a running instance in minutes; production setups swap in PostgreSQL and a queue mode for concurrent executions. The learning curve is the concepts — triggers, nodes, credentials — not the deployment.
How Uphill Tech helps
We build and manage n8n workflows for real business processes: invoicing, SMS follow-ups, scheduling, the admin work nobody should be doing by hand. Deployed on your infrastructure, with monitoring and handover documentation. The first conversation is free.
